Position Title: Membership and Office Manager

Reports to: Executive Director

Salary and Benefits: DOE

Status: .25 PTE (10 hours/week)

 

Davidson Lands Conservancy (“DLC”) seeks a highly motivated and qualified individual to serve as its part-time Membership and Office Manager. He or she will assist staff in membership, special event management, and office and board administration.

DLC, founded in 2000, is a nonprofit land trust that works with willing landowners to save land in the Davidson, North Carolina area in order to preserve a healthy, natural environment for future generations. DLC works to protect valuable land, educate the public about the benefits of conservation, and advocate on behalf of our ecosystems.

DLC currently protects properties totaling around 500 acres, either under conservation easements with the property owners or in-fee ownership by the DLC. DLC participates in a variety of outreach and educational activities, including WOW (World of Wonder) children’s programming, TreesDavidson, and supporting the Town of Davidson’s BeeCity designation.  The annual budget is funded by donations from family, individual, and corporate members; grants; and fundraising events including the annual Run for Green race.  DLC’s office is located in downtown Davidson, North Carolina. A 15-member volunteer Board of Directors provides oversight to the organization. A part-time Executive Director oversees the Membership and Office Manager as well as two additional part-time, volunteer staff.

Scope of Work

Membership and Development

  • Assist in administration of the DLC’s membership program and manage membership database for gift processing (currently using Blackbaud-based etapestry), including generating renewal and appeal letters, donation acknowledgements, reports, and new member welcome packets.
  • Assist in managing gift processing for the Forever Fund, DLC’s land acquisition fund.
  • Manage member and partner contact information in database and associated mailing lists.

 

Administration

  • Answer phone, greets visitors and directs questions to the correct staff person.
  • Assist with financial processes as directed by ED, including processing incoming receipts and outgoing disbursements.
  • Maintain corporate, staff and board administrative records onsite, in the cloud, and at off-site storage.
  • Assist the Executive Director and other staff as needed for the office to run smoothly.

 

Board Assistance

  • Create a board website and maintain board calendar of events.
  • Assist ED in preparing materials for board meetings and board members as requested.

 

Communications and Outreach

  • Assist in all communication and outreach efforts, including relevant social media.
  • Assist in creation and production of communications materials as needed, including e-newsletters, marketing materials, and press releases.
  • Recruit and manage volunteers for office and event assistance, including Run for Green in September.

Qualifications

  • Candidate must be organized, results-oriented, accurate in their work, and a positive team player.
  • Proficiency with computers and programs required, including Microsoft Office Suite.
  • Experience with etapestry or Blackbaud-based membership database preferred.
  • Strong written, verbal and interpersonal communication skills.
  • Previous experience with land trust organization preferred.
  • Commitment to DLC’s core mission of conservation.

Working Conditions

  • Work is performed in an office with possible trips to local businesses and services.
  • Occasional after-work hours may be required for special events or board meetings. The position may require standing, sitting, kneeling, and the ability to lift up to 25 pounds.

Salary and Benefits

  • This is a 10-hours a week position. The hourly rate is based on non-profit comparables for similar-sized organizations. Hours can be flexible during the work day. DLC is an equal opportunity employer.
